Heidi Health AI Tool – Helping Our Clinicians
Thornbury Road Centre for Health will be going live on 1st September 2025 with a new software called Heidi Health AI to help our clinicians in their clinics.
1.What is Heidi Health?
Heidi Health AI Scribe is an advanced, secure digital assistant designed to support clinicians during consultations.
It uses artificial intelligence to document medical note, ensuring your clinician can focus on actively listening to your concerns and delivering personalised care, rather than spending time manually recording the notes. Clinicians review and approve the notes that have been captured prior to adding to the patient record.
There is no element of the AI programme influencing or advising the clinician’s thinking or decision-making process – Heidi Health is purely a note-taking tool, not a clinical assistance programme.

2. Why have we decided to use Heidi Health and what are the Benefits?

3. Impact Assessment and Compliance
Before implementing Heidi Health AI, a full assessment was made of the software, data security and a feasibility project was undertaken. Heidi has been approved for use in GP practice, by North West London Integrated Care Board.
A Data Protection Impact Assessment was undertaken and DCB0160 completed. These were assessed and signed off by the Data Protection officer for NW London.

4. How Your Data is Managed
Data Security and Privacy: Heidi Health adheres to stringent UK compliance frameworks, including the Data Protection Act, GDPR, and NHS standards such as DCB0129, DTAC, and DSPT. This ensures that your personal information is handled securely and confidentially.
Local Data Hosting: All data is hosted within the UK, enhancing security and compliance with local data protection regulations.
Temporary Data Storage: Audio recordings used for generating notes are not stored permanently. They are processed and then deleted, ensuring your data remains private and secure.

5. Who has access to my medical information?
We employ robust and strict access controls meaning only your clinician has access to sensitive information – We are GDPR and NHS compliant and our information management systems are also ISO27001 accredited for data security
6. Do you store recordings of my appointment?
Conversations are transcribed simultaneously while they happen, meaning no recordings are ever stored. Notes that a clinician saves from the appointment will be added to your Electronic Health Record, as standard
7. Consent
Your privacy and comfort are our top priorities. Heidi Health AI Scribe only processes information discussed during your appointment and operates within strict privacy and data protection regulations. Before using Heidi Health AI Scribe, your clinician will explain its role and seek your verbal consent.
